Separation of environments
Public marketing content and the transaction and document environment are kept logically separate. A compromise of website content should not expose title orders, uploaded documents, credentials or transaction data.
Transport and application security
HTTPS throughout with strict transport security, secure cookies, a content security policy, hardened response headers, dependency patching, rate limiting and bot filtering on public forms.
Accounts and access
Multi-factor authentication on professional portal accounts and for any user accessing wire or closing instructions. Role-based access within client organizations, session controls, and single sign-on available for larger professional clients.
Documents
Uploads are restricted to an allowlist of file types with size limits and content verification, are scanned, and are stored against the transaction record with access limited to the staff working the file. Uploads, downloads and permission changes are written to an audit trail.
Wire security
Viking Abstract does not send new or changed wire instructions by email. Outgoing wires are subject to callback verification. Every client is directed to verify instructions by telephone, using a number they already hold, before transferring funds. See the Wire Fraud Prevention Center.
Notifications
Confirmation and status emails deliberately contain no confidential transaction detail and carry no sensitive attachments. They point to the record rather than reproducing it.
Data handling
Encryption in transit and at rest, data minimization, managed secrets, regular backups with tested recovery, and defined retention and deletion rules for uploaded personal information and title documents.
Monitoring and response
Logging, uptime and error monitoring, alerting, and a defined incident response and escalation path. If the portal or an integration is unavailable, a fail-safe contact route is published so a transaction is never blocked by a system outage.
